Privacy policy
Seamless Systems respects your privacy. This policy explains how we process personal information in line with the Protection of Personal Information Act 4 of 2013 (POPIA).
Last updated: 22 October 2026
1. Who we are
Seamless Systems (“we”, “us”) is the responsible party for personal information collected through this website and our enquiries. Contact: 20 William Younger Drive, Hilton, South Africa · info@seamless-systems.co.za · 087 503 9840/1.
2. Information Officer
Our Information Officer can be reached at info@seamless-systems.co.za (subject: “POPIA request”) for any privacy question or request.
3. What we collect
- Information you send us — when you email or phone us (for example to request a quote or the free health check): your name, business name, email address, phone number, location and the details of your enquiry.
- Website usage information — only if you accept analytics cookies: pages viewed, buttons and links clicked, approximate location, device and browser type, collected through Google Analytics. See our Cookie policy.
- Client service information — when we provide services, the information needed to deliver and support them, under a separate agreement.
This website has no user accounts and does not store form submissions; enquiries reach us by email or phone.
4. Why we use it and our lawful basis
- To respond to enquiries, prepare quotes and arrange health checks — to take steps at your request towards a contract, or our legitimate interest in responding.
- To deliver, support and invoice services — to perform our contract with you.
- To understand and improve the website — only with your consent to analytics cookies.
- To meet legal, tax and accounting obligations.
We do not sell personal information. We will only send direct marketing by electronic communication with your consent or, for existing clients, about similar services with an option to opt out each time, as required by section 69 of POPIA.
5. Sharing and operators
We share personal information only with service providers (operators) that help us run our business, such as email and hosting providers and Google (for analytics, if you consent), and with vendors or distributors where needed to supply products you order. They must keep the information confidential and secure. We may also disclose information where the law requires it.
6. Transfers outside South Africa
Some providers, including Google and Microsoft, may process information outside South Africa. Where this happens, we rely on providers bound by laws, binding rules or agreements that give a level of protection substantially similar to POPIA, as section 72 requires.
7. Security and retention
We take reasonable technical and organisational measures to protect personal information against loss, damage and unauthorised access. We keep it only as long as needed for the purpose it was collected, or as required by law, then delete or de-identify it. Should a security compromise occur, we will notify the Information Regulator and affected people as POPIA requires.
8. Your rights
Under POPIA you may ask whether we hold your personal information and request access to it; ask us to correct or delete it; object to processing, including direct marketing; and withdraw consent at any time (for analytics, use “Cookie settings” in the footer). Send requests to the Information Officer above; we may need to verify your identity. Access requests may also be made under the Promotion of Access to Information Act (PAIA).
9. Complaints
Please contact us first so we can try to resolve your concern. You may also lodge a complaint with the Information Regulator (South Africa): inforegulator.org.za · POPIAComplaints@inforegulator.org.za.
10. Changes
We may update this policy from time to time. The date at the top shows when it last changed.
